Auditing & Monitoring Process

We will implement a bespoke Auditing Process to suit your business to ensure compliance with Cleaning Specifications. We will find the right level of involvement to suit your business needs; we understand that where some businesses will need daily monitoring, this level of visibility can be a hindrance to some. Your options for Auditing and Monitoring of cleaning standards can include:

  1. Daily Monitoring: Cleaning Supervisor can conduct daily inspections to evaluate cleanliness, using standard operating procedures (SOPs) and completing checklists.
  2. Weekly Audits: Cleaning Supervisors can perform weekly audits. Any non-conformance issues will be addressed in collaboration with the cleaning staff and rechecked in the following week’s audit. Unresolved issues will be escalated to the Equity Operations Manager, who will review cleaning procedures, chemicals, and equipment used.
  3. Monthly Inspections: Area Managers can conduct full inspections of your site on a monthly basis. Audit Results will be provided as a report and can be broken down into sections to assist in resolution of any non-conformance. 
  4. Monthly Review Meetings: We can arrange regular meetings between you and an Equity Cleaning Manager, either over Microsoft TEAMS or on-site. Any non-conformance identified in the monthly audits can be discussed, along with any other points relating to the cleaning contract. 

Continuous Support from Equity 

Our team is dedicated to supporting you with any request you may have. We will make every effort to assist, and if it falls within our knowledge and expertise, we will provide help to the best of our ability.

With over 130 years of combined experience in the cleaning industry, the Equity Management and Support Team is confident in handling even the most unique or challenging requests. In cases where we may not have the required expertise, we will seek assistance from specialist partners - either from our approved supplier list or a carefully selected new provider. In such cases, we will work closely with you to ensure you are fully informed and comfortable with any additional costs or documentation involved.

We use GPS tracking for optimising routes between different job sites to reduce travel time and emissions.

We continue to regularly update our staff training on health and safety standards, and ensure staff compliance with UK workplace safety regulations.

The management of Equity Cleaning Services Ltd. looks upon the promotion of Health & Safety measures as a mutual objective for themselves and their employees.

It is the policy of the company to do all that is reasonably practicable to prevent personal injury and damage to property, and to protect everyone, including the public, from any unforeseen hazard or danger, in so far as they come into contact with the company or its objectives.

In particular, the management of Equity Cleaning Services Ltd. recognises it’s responsibility to provide and maintain safe and healthy working conditions, to provide training and instruction to enable employees to perform their work safely, to maintain a continuing and progressive interest in Health & Safety, to consider all statutory requirements for Health & Safety, and to consult and involve employees in Health & Safety matters, where possible.

The management of Equity Cleaning Services Ltd. also recognise that it’s employees have a duty to co-operate in the implementation of the Health & Safety Policy by working safely, and by meeting their statutory duties and reporting incidents that have led to, or may lead to, injury or damage.

Client Onboarding Process

  • Initial Enquiry

    Once we receive your enquiry we will process it and arrange a telephone consultation

  • Telephone Consultation

    The telephone consultation will be arranged with our Business Development Director within two working days.

  • Client Visit

    After the telephone consultation, we will arrange a visit to your premises to discuss your requirements further.  We aim to carry this out within one week of the telephone consultation.

  • Quotation

    We will provide you with a full quotation within one week via our online proposal portal.

  • Quotation Acceptance

    Should you wish to proceed you can e.sign our quotation

  • Start Date Agreed

    We will contact you once the quotation has been accepted to agree a mutually convenient start date

  • Handover to Contracts Manager

    Once we have agreed a start date for the service to commence we engage with Equity's HR & Contracts Manager to co-ordinate the implementation of the new contract and coordinate staff and equipment.

  • Contract Starts

    Once everything is agreed the service can start.  This is normally between one and six weeks of the initial enquiry.

Chemicals and COSHH

Where possible we use green products to reduce negative impact on the environment. Our main range of product, Triple 8 Dose, is a concentrated solution which is diluted with water in a trigger spray bottle. Each 1 litre bottle makes 100 trigger sprays, greatly reducing transport emissions through less frequent and lighter deliveries.


Our cleaning staff are COSHH trained by supervisors or manufacturer representatives. We also provide H&S training through our online training portal, which includes COSHH guidance.



A copy of each COSHH Assessment and its relevant Data Sheet should be made easily available to all Equity employees.


To achieve this, we will have a site pack (including COSHH) in each of the main cleaning cupboards across all sites. In addition to COSHH, these packs contain; Employee Handbooks, Insurance Documents, Risk Assessments, Method Statements, H&S Guidance.
